Activity-Based Work

WHY

A German municipality planned to relocate 3,000 employees to a new 28-storey building with more than 2,000 workstations. The shift introduced Activity-Based Working (ABW) with flexible spaces and self-management.

 

Without preparation, staff risked confusion, inconsistent habits, and lower productivity. The goal was to make ABW practical with clear principles, wayfinding, and shared norms so people could choose the right space, collaborate smoothly, and feel confident from day one.

HOW

VSLS designed a strategy to make ABW practical for all 3,000 staff in the building. It framed everyday choices: match task to space, respect others, and own outcomes. A phased plan took principles into practice.

 

Employees explored the environment, rehearsed role-based scenarios, and received prompts that reinforced norms. Content ran in channels and Learning Management System (LMS), with feedback loops tuning messages for teams and floors, accelerating confidence and reducing friction.

WHAT

The programme made ABW practical at scale with SCORM modules integrated into the LMS. Interactive scenarios, a virtual tour, and quick-reference guides clarified when to use each space. As a result, participation increased, and retention improved.

 

Impact is tracked using LMS completions, adoption indicators, and utilisation data. Early results show faster wayfinding, fewer space-use conflicts, and smoother hand-offs. Findings inform scheduled updates to keep materials current and adoption high.
