Learning Experience: Organisers and Participants 

WHY

For a flagship 2024 sporting event, sustainability had to move from promise to practice. Organisers wanted to pass hard-won lessons to future hosts so standards would rise event to event.

 

The challenge was scale and timing. Extensive guidance had to be distilled into engaging learning mapped to each lifecycle phase, reaching planners and operators at the moment of decision so best practice became routine, not shelfware.

HOW

VSLS co-designed a lifecycle-aligned learning strategy with event leaders. Critical decisions were mapped by phase, then distilled extensive guidance into short, role-specific narratives. Principles: clarity, credibility, and timing—give the right lesson at the right moment.

 

Interactive modules and smart PDFs anchored practice with checklists, exemplars, and quick wins. Peer voices and scenarios grounded trade-offs in real constraints. Feedback loops captured adoption and sharpened content between host cycles, ensuring consistent standards without slowing delivery.

WHAT

VSLS delivered a lifecycle toolkit with role-based modules and smart PDFs, mapping milestones, decision gates and checklists to sustainability standards. Analytics tracked completion and adoption, and feedback highlighted clarity and timing.

 

Teams applied lessons locally using partner templates and sponsorship prompts to fund initiatives. Early planning drove waste reduction, supplier selection and stronger reporting. The toolkit now anchors future hosts and enables rapid updates between cycles.
