THE CHALLENGE

A client that specialised in healthcare solutions faced a critical challenge in their pharmaceutical distribution sector. Their HR functions were scattered across various regions, creating inefficiencies. The decentralised systems made integration, control, and reporting difficult. Employees faced issues when accessing their payslips, leave schedules, and HR information because everything was scattered across different systems.

This compromised operations and posed risks to data security and compliance. Our task was to centralise HR functions onto a unified platform, improving accessibility, efficiency, and security across client operations.

STRATEGIC APPROACH

In order to address the client’s challenges, we implemented a comprehensive strategy that focused on three primary objectives:

  • Improving integration, control, and reporting within the HR function.
  • Enhancing employee experience through self-service tools.
  • Enabling seamless collaboration and integration between HR and finance systems for accurate payroll reporting, compliance, and transparency.

Therefore, we initiated Project One to standardise HR processes across Singapore, Malaysia, and Thailand. Using the SAP Activate implementation method, we applied industry best practices to optimise resources and meet project goals efficiently.

 

After careful planning and preparation, dedicated project teams were established to include the client’s personnel and EPI-USE with clearly defined roles. EPI-USE project managers and functional consultants were able to work closely with the client’s HR process owners, technical teams, and integration specialists. This collaboration ensured a customised implementation that aligned with their unique operational framework.

 

A fit-to-standard analysis also confirmed the solution’s functionality against business needs. As a result, we addressed identifiable gaps through iterative cycles, progressively building and testing an integrated business and system environment. By centralising payroll, time-off, and attendance systems we could ensure top-notch information security standards and provide employees with seamless access to all HR information on a unified platform.

IMPACTFUL DELIVERY

Project One surpassed client expectations, with a centralised HR platform that streamlined processes and enhanced control, leading to clear measurable improvements across all regions.

 

As a result, we successfully rolled out SAP Payroll in Singapore, Malaysia, and Thailand, covering all essential functions including regular payroll processing, time-related income, leave deductions, payslips, bank file transfers, and statutory reporting. Additionally, we implemented SAP Time Evaluation for Singapore and Malaysia, which ensured accurate time-off management and attendance tracking.

 

This approach simplified and integrated functions, reducing manual work and increasing efficiency. The new system enhanced data accuracy, providing up-to-date information for better decision-making while ensuring compliance by meeting all statutory requirements for payroll and time management processes. The self-service tools also made it simpler for employees to manage their payslips, leave planning, and other HR tasks underscoring our expertise in delivering tailored solutions.

 

These achievements were ultimately realised through thorough testing, effective stakeholder engagement, and precise project management, clearly demonstrating our expertise in delivering impactful results and driving meaningful change.
